Thinking of Hosting an Event This Spring? Here’s What to Consider Before You Start Planning
Spring and the coming warmer season has a way of making us want to come together and celebrate.
The days get longer, the temps get warmer, and suddenly we’re done hibernating and want to connect and gather in person - celebrating milestones, welcoming new beginnings, hosting just because moments (dog party anyone?) and creating moments that feel intentional and meaningful, especially as our lives become more complex and heavy.
If you’ve been thinking about hosting an event this spring or summer - whether that’s a brand gathering, launch party, welcome reception, client dinner or appreciation event, milestone birthday, or intimate networking event - this is your reminder: it doesn’t have to feel overwhelming.
This spring, I’m also hosting and producing two events of my own (amongst other client events and weddings!), and these are the exact questions I’m asking myself as I plan. Because even as an event planner, I come back to these same reminders and workflow again and again.
Here are a few things to consider before you begin planning your event.
1. Start with how you want it to feel
Before you think about venues, aesthetics, guest count, or timelines, pause and ask yourself:
How do I want this event to feel?
Warm and intimate?
Light and celebratory?
Grounded and calm?
Elevated but relaxed?
When you design from emotion instead of expectation, decisions naturally become clearer - and simpler. Let that feeling guide everything that follows.
2. Get clear on your “why”
Every meaningful gathering or events begins with intention (or purpose).
Is this event about:
celebrating growth?
welcoming people into a new season?
building community?
expressing gratitude?
creating connection?
When you’re clear on the why behind hosting, planning feels less scattered and more purposeful.
3. Let your budget guide, not limit, your choices
Budget isn’t about restriction, it’s about getting clear on what matters as you plan.
When you know what you’re comfortable investing, decision-making becomes more grounded and far less overwhelming. It helps you prioritize what truly matters and release the rest.
Something I always come back to is this: thoughtful design, warm hospitality, and intentional details don’t require excess - they require care, creativity, and thoughtful consideration.
4. Design for purpose, not perfection
It’s easy to get caught up in what events should look like - especially with social media constantly showing us beautifully styled tablescapes, elaborate installs, and over-the-top productions (don’t get me wrong, I love these installs and there is certainly a time and place for them, but always lead with intention).
From my experience, the most memorable events aren’t the most styled. They’re more about the experience, so focus on:
flow and guest experience
thoughtful details
approachable lighting
comfortable seating
moments that invite connection or purpose
Your guests won’t remember the table linens you chose - they’ll remember how they felt being there.
5. Simplicity creates calm
When planning begins to feel overwhelming, it’s often a sign that things are getting too complicated.
A few intentional choices done well will almost always feel better than trying to do everything.
Give yourself permission to:
simplify the design
narrow the menu
shorten the timeline
reduce the guest list
Less truly can be more - and often feels better for everyone involved.
6. You don’t have to do this alone
